Privacy Policy

Callroom is a wellness tracking tool built for medical residents. This policy explains what personal information we collect, how we use it, and your rights regarding your data. We believe in being direct and honest — no legal jargon.

What we collect

When you create an account and use Callroom, we collect:

  • Account information: your full name, email address, hospital or residency program, and specialty.
  • Daily check-in data: your self-reported exhaustion, connection, and meaning ratings (0–4), computed burnout risk score, shift type, and any optional notes you choose to write.
  • Meeting request messages: messages exchanged between you and your Program Director through the app.
  • Usage data: when you last checked in and how often you use the app.

We do not collect any clinical health records, patient data, or information about the patients you treat.

How we use your information

  • To show you your own wellness trends on your personal dashboard.
  • To allow your Program Director (if registered at the same institution) to view anonymized cohort statistics and individual wellness data for residents in their program.
  • To send in-app notifications relevant to your account.
  • To allow password recovery via email.

We do not use your data for advertising, and we do not sell or share your data with any third parties for commercial purposes.

Who can see your data

  • You can always see all of your own data.
  • Your Program Director can see your wellness check-in data (burnout risk score, shift type) if they are registered on Callroom at the same hospital. Your personal notes are visible only to you.
  • Callroom administrators may access data for the purpose of operating, maintaining, or debugging the service.

How your data is stored

Your data is stored securely using Supabase, a third-party database provider hosted on Amazon Web Services (AWS). Data is encrypted in transit and at rest. We use Supabase's row-level security to ensure users can only access data they are permitted to see.

Data retention and deletion

Your data is retained for as long as your account is active. If you would like to delete your account and all associated data, please email us at hello@callroom.io and we will process your request within 14 days.

Beta disclaimer

Callroom is currently in beta. While we take data security seriously, the app is still under active development. We recommend not entering highly sensitive personal information beyond what is needed for wellness tracking.

Changes to this policy

If we make significant changes to this policy, we will notify users via email or an in-app notice. Continued use of Callroom after changes constitutes acceptance of the updated policy.
